Otter.ai vs Fireflies.ai vs Fathom: Best AI Meeting Notetaker for 2026

I ran the same 50 customer-discovery and sales calls through Otter.ai, Fireflies.ai, and Fathom over the last six weeks. The results pushed me to switch tools twice.

This isn't a feature-by-feature reblog of their pricing pages. It's what each one actually does well, where they break, and which one I'm still paying for.

Pricing Comparison

Fathom's free tier is the most generous in the category, unlimited recording with summaries and action items, no minute caps. That alone made me start there for testing.

Transcription Accuracy

I picked 5 calls with different conditions: clear audio one-on-one, noisy coffee shop, three-way call with overlapping speakers, technical call with lots of jargon (SaaS pricing terms), and a call with two non-native English speakers.

Otter.ai wins on accuracy in every condition I tested, and the gap widens on hard audio. The reason: Otter has been training on transcription longer than the other two and has better speaker separation.

For most meetings, the 1–4% gap doesn't matter, you're skimming for action items, not auditing every word. For technical calls, depositions, or anything where misquoting could be a problem, Otter is the safer choice.

Speaker Identification

Speaker diarization (figuring out who said what) is where the tools diverge most:

• Otter.ai — best out of the box. After 2–3 calls with the same person, it identifies them automatically.
• Fireflies.ai — decent but tends to merge two quiet speakers into one. Manual cleanup needed.

If you do mostly 1-on-1s, this barely matters. If you do panels, group calls, or roundtables, Otter is the only one I'd trust without manual cleanup.

AI Summary Quality

I scored summaries on three things: action items captured, topic coverage, and signal-to-noise.

Fathom writes the most readable summaries. They're short, structured, and focused on decisions and next steps. The downside: it sometimes drops topics that didn't have a clear action item, even if they were important context.

Otter.ai generates the most thorough summaries. The "AI Chat" feature lets you ask follow-up questions about the call — "what did Sarah say about the pricing concern?", and get answers. This is the feature I use most.

Fireflies.ai sits in the middle. Good summaries, decent search, but the formatting is more verbose than Fathom. The unique feature is "Conversation Intelligence", talk-time ratio, sentiment analysis, topic tracking, which sales teams care about and others don't.

For action items specifically, Fathom captured 91% of what I'd manually flag, Otter caught 88%, Fireflies caught 84%. All three miss the implicit ones ("we should probably look into that") that humans pick up.

Integrations

This is where Fireflies pulls ahead for sales and CRM-heavy teams.

Fireflies.ai integrates natively with Salesforce, HubSpot, Pipedrive, Close, Copper, Notion, Slack, Asana, Monday, Zapier, and 30+ more. Notes can post directly to a deal record. Action items can become Asana tasks automatically. For a sales team, this is the workflow killer.

Otter.ai has fewer native integrations but covers the basics: Salesforce, HubSpot, Slack, Microsoft Teams, Zoom, Google Meet. The Otter Assistant can join calls automatically based on your calendar.

Fathom integrates with Salesforce, HubSpot, Slack, Notion, Google Docs, Linear, and a few others. Smaller list than Fireflies but covers what most small teams use. The integrations work well, I've never had one silently break.

If you live in Salesforce, Fireflies. If you live in Slack and Notion, any of them work.

Privacy & Data Handling

All three use cloud transcription, which means your meeting audio leaves your computer. Their data policies:

• Otter.ai, does not train models on user audio by default; enterprise plan available for compliance
• Fireflies.ai, does not use your data to train models; SOC 2 Type II certified
• Fathom, does not train on user data; HIPAA-compliant tier available

For HIPAA needs, Fathom is currently the easiest path on a small-team budget. For SOC 2 with strict procurement, Fireflies has the most enterprise polish.

None of the three are good fits if you have a "no recordings ever" policy from legal, for that, you need a local-only tool, none of which I've found that match these three on quality.

Honest pain points from 6 weeks of use:

Otter.ai's biggest flaw, the meeting bot is announced to attendees. Some prospects react negatively to "Otter has joined the meeting." Fireflies and Fathom both have stealth modes; Otter doesn't, by design.

Fireflies.ai's biggest flaw, pricing on the higher tiers gets expensive fast. The unlimited Business plan is $29/mo per user, which is fine for one person but adds up for teams of 10+.

Fathom's biggest flaw, no transcript editing. You get the AI summary and the raw transcript, but you can't fix mistakes in place. For accuracy-critical workflows, you'll want Otter or Fireflies.

Solo founder / consultant on a budget: Fathom free. The unlimited free tier is the best in the category, and the summaries are good enough for 90% of use cases.

Sales team with a CRM: Fireflies.ai. The Salesforce/HubSpot integration depth and the conversation intelligence features earn the higher price.

Recruiter, lawyer, journalist, podcaster, anyone who needs accurate transcripts: Otter.ai. The transcription accuracy gap matters here, and the AI Chat feature is genuinely useful for searching past calls.

Small team (2–10 people) doing customer discovery or PM interviews: Fathom. Easy to roll out, generous free tier for trial users, summaries good enough.

I personally pay for Otter.ai Pro because I do customer interviews and need to search transcripts later. For straight meeting notes, I'd use Fathom free.
